About Us
PT Mirai Group Japan is the Indonesian arm of a Tokyo-based premium beauty and lifestyle company operating across Japan, Indonesia, UAE, Vietnam, and India. Our CEO is based in Japan and travels to Jakarta regularly. This role exists to make those visits, and everything connected to them, run without friction.
What This Role Actually Is
This is not a standard office job. It is split into two distinct modes depending on where the CEO is located.
When the CEO is in Jakarta, you are a full personal and professional assistant. That means you are available, responsive, and one step ahead at all times. You handle scheduling, translation, meeting attendance and note-taking, transportation bookings, hotel and flight arrangements, grocery runs, errands, and anything else that needs to be handled so the CEO can focus on business. You accompany the CEO to meetings when needed. You translate in real time. You anticipate what is needed before being asked.
When the CEO is in Japan, you work from Jakarta on administrative tasks. That includes drafting documents and proposals, preparing presentations, processing invoices, organizing records, and supporting the team with whatever operational work is active at the time.
The two modes are different but the standard expected in both is the same: high quality, on time, no excuses.
The Standard We Expect
The CEO has lived and worked in Japan for 16 years. The work ethic expected in this role reflects that. This means:
Being on time is not a courtesy, it is a baseline. If the CEO says 9am, you are there before 9am. Lateness is not acceptable regardless of traffic or circumstances. Plan accordingly.
When you receive a request, you respond immediately to confirm you have received it and act on it without delay. Leaving a message unread or unacknowledged is not acceptable.
You remember what the CEO tells you. Preferences, habits, past instructions. You keep notes. You adjust. You do not need to be told the same thing twice.
You notice what needs to be done and you do it. You do not wait to be asked for things that are obvious.
If you are the kind of person who needs constant follow-up, supervision, or reminders to complete tasks, this role will not work for you.
Key Responsibilities
When CEO is in Jakarta:
- Full schedule and calendar management
- Real-time Bahasa Indonesia to English translation and vice versa in meetings and daily interactions
- Attending meetings, taking accurate notes, and following up on action points
- Booking taxis, private cars, flights, and hotels
- Running personal errands including groceries and general purchases
- Acting as the primary point of contact between the CEO and local vendors, offices, and contacts
When CEO is in Japan:
- Drafting business documents, proposals, and correspondence
- Preparing presentation decks
- Processing and filing invoices
- General administrative and operational support for the Jakarta team
This Role Is Not For You If
You are frequently late or have difficulty being on time consistently. You need reminders or follow-ups to complete tasks you have already been given. You become unresponsive when things get busy. You are not comfortable being available outside standard office hours during the CEO's Jakarta visits. You live far outside Central or South Jakarta and cannot reliably be where you need to be quickly.
Requirements
- Native Bahasa Indonesia speaker with strong English fluency, both spoken and written. You will translate in real-time in professional settings. Your English must be able to hold up in a business meeting.
- Currently living in Jakarta. This is not flexible. You need to be close enough to respond quickly when needed.
- Proven experience as a personal assistant, executive assistant, or secretary. Experience supporting a senior executive is strongly preferred.
- Strong written skills in English. You will draft documents and communications that go out under the company name.
- Proficiency in Google Workspace and Microsoft Office, specifically Docs, Sheets, Slides, and Word.
- Comfortable with irregular hours when the CEO is in Jakarta. The schedule is not always predictable.
- Discreet. You will handle personal and confidential business information. That stays internal.
